he Dental Front Office Coordinator is responsible for providing exceptional customer service to patients by greeting them upon arrival, scheduling appointments, managing patient records, handling phone inquiries, processing financial transactions, and maintaining a clean and organized front desk area, all while adhering to dental office policies and procedures.
Key Responsibilities:
Patient Reception:
Greet patients warmly upon arrival, verifying appointments and directing them to the appropriate area.
Answer incoming phone calls promptly, addressing inquiries regarding appointments, billing, and general practice information.
Check patients in and out, updating necessary information in the electronic health record (EHR).
Appointment Scheduling:
Schedule patient appointments efficiently, considering provider availability and patient needs.
Confirm appointments via phone or text message according to office protocols.
Manage appointment cancellations and rescheduling, actively working to fill open slots.
Patient Registration:
Collect and verify patient demographic information, insurance details, and medical history forms.
Update patient records with any changes in contact information or insurance status.
Financial Transactions:
Explain treatment plans and associated costs to patients clearly.
Process patient payments, including co-pays, balances, and insurance claims.
Manage patient billing inquiries and address concerns regarding invoices.
Administrative Tasks:
Maintain a clean and organized front desk area, including patient waiting room.
Manage office supplies and ensure inventory is adequately stocked.
Assist with marketing initiatives as needed, including patient recalls and appointment reminders.
Compliance:
Adhere to HIPAA regulations regarding patient confidentiality.
Maintain knowledge of dental office policies and procedures, including billing codes and insurance guidelines.
Qualifications:
High school diploma or equivalent.
Experience in a healthcare front office setting preferred, dental experience a plus.
Excellent communication and interpersonal skills, with a focus on customer service.
Proficiency in Microsoft Office Suite and dental practice management software.
Ability to multitask effectively in a fast-paced environment.
